10 Ways You Can Use Video to Promote Your Events (Even on a Tight Budget!)

It’s official… video is the powerhouse event marketing tool in 2019. With 87% of businesses now using video as a marketing tool and 91% of video marketers saying it’s an important part of their marketing strategy, there’s no excuse anymore to skip it in your marketing plan.

Selling out your events will be much easier done if you employ the power of video in your promotional plan. While high-budget, cinematic quality video is one route to go down, it’s a big conception that you need tons of money and/or skill to make videos. You can make amazing and effective video with just your phone.

Here are ten ways you can add video to your event marketing plan, starting right now.


1. Promotional video


In the promotional video, you want to introduce the event, tell the audience what it’s all about. Dish out the important details like when it is and where it’s being held. And most importantly, talk about the benefits of attending! Use language that will convince the viewer that they will seriously be missing out if they don’t. End of the video with a clear call-to-action on how people can register.


2. Highlights video after the event


We create a highlights video every year after each Conference & Hospitality Show and it has been invaluable for showing off how exciting the day is (and it’s a great way to reminisce when we miss it!). We hire a professional video production company to document the actual day of the event and they put together the video afterwards too. It also serves as excellent marketing material for next year’s show when it comes time to promote registrations again.


3. Speaker intros & interviews


If you have speakers at your event, ask them to make a short 1-2 minute video introducing who they are, what they do, and what the attendees can expect from their session at the event. It’s a great way to get people hyped up for the speaker sessions, while giving the speakers themselves a great piece of promotional material and increasing their credibility.


4. Call for registrations


Just like we said in the intro, you can promote your event using video, even on a shoestring budget. Simply pull out your smartphone, record a selfie-style video and talk to your viewers in a friendly and human way. People get tired of the same-old promotional sales messages they get bombarded with on social media all the time, pulling them this way and that way. Stand out from the crowd by being more human and have a chat with your audience, encouraging them to register for the event.


5. Educational content on how to make the most of the event


Speaking of being human and friendly, the best way to do that is by providing value first to your audience! Put together some helpful videos for your audience to help them make the most of your events. For example, if you’re hosting a conference, you can make some videos on how to network at the event or how to follow up on conversations. These videos can be used in multiple ways, including in your email marketing to your attendees, posted on your event website or shared on social media.


6. Show the attendees what’s awesome about the host city 


Think outside the box and take the focus outside of the event by putting the spotlight on your host city! This is another way to be unique in the crowd because you’re encouraging people to fall in love with the city, as well as the event. We love shouting our praises about Leeds because it’s the home to our Conference & Hospitality Show and we’re taking our annual CHS Awards to Leeds this year too.

 Make a walk-around vlog showing attendees what they can see and do while they’re visiting the city for your event. Show them the best shops, the best restaurants and bars, etc. Show your attendees that the time they spend traveling to the host city will be well worth it!


7. Show off your prize draws


If you have giveaways or prize draws at the event, excite your audience by making a short video telling people what’s being given away and how they can enter. There’s no better way to hype up people about a giveaway if they can physically see how excited you are about it as well!


 8. Video testimonials


We’ve said it before and we’ll say it again… testimonials are one of the best forms of social proof to get people interested in your future events. Plan ahead for the promotion of your next events by filming testimonials during your current event. Go around and film short videos asking the attendees what they think of the event, the biggest benefits they’ve experienced by coming, and if they would recommend the event to other people or come back again in the future. These videos will be perfect to share on social media or use in your future paid advertising to promote upcoming events.


9. Livestream the event


Livestreaming is huge now, especially on Facebook and Instagram. Document what’s going on at the event a few times during the day by livestreaming on Facebook or Instagram. It’s quick, easy and lets people who couldn’t make it in person feel like they’re there! You also might encourage them to definitely attend the next one.


10. Post videos on Instagram Stories


Quick and engaging videos are the way to go on the day of the actual event since people won’t have the time to commit to watching anything longer. Update attendees on what’s happening, including important timings for speakers or prize draw reveals, by keeping everyone posted on Instagram Stories.
